The KEEP exchange handbook

Everything a host collection needs to know

This is the short version of what hosting involves. It should take about five minutes to read.

Posting a placement

Give as much detail about the section and the work as you can. Placements with a clear description and realistic dates attract far more applicants.

Reviewing applicants

You will see every applicant's CV and cover letter, plus a warning if the dates clash with another exchange they are already committed to. That warning is advisory — you can still accept them.

Accepting someone

When you accept an applicant, everyone else who applied is told automatically. You do not need to write to them individually.

Teams

If your collection uses teams, assign each placement to the team that will host it. Members only see the placements for their own teams, so a bird keeper is not sifting through carnivore applications.
